hardPayroll Specialist interview question

How would you evaluate and select payroll software for a company with 500 employees in India and the UAE?

What the interviewer wants to hear

  • Define requirements: countries, statutory compliance, integrations, volumes
  • Assess compliance updates, WPS and Indian statutory outputs
  • Check security, access controls, audit trails and data location
  • Evaluate integration with HRMS, attendance and accounting
  • Run demos and a pilot, compare total cost and support

Model answer

I would start with a requirements list built with HR, finance and IT: India and UAE payroll, number of employees and entities, salary structures, statutory outputs such as PF ECR, ESI, PT, Form 24Q and Form 16 for India and WPS files and gratuity for the UAE. Then I would check how each vendor keeps up with rule changes, because compliance updates matter more than screens. Security is next: role-based access, maker-checker workflows, audit trails, encryption, where data is stored and certifications. I would check integration with our HRMS, attendance system and accounting software, since manual uploads cause errors. I would shortlist two or three tools such as greytHR, Zoho Payroll or a SuccessFactors-based option, run scripted demos using our real scenarios like arrears and full and final settlement, and ideally a small pilot. Finally I would compare total cost, implementation support and references.
