hardPayroll Specialist interview question

Your company wants to move payroll from Excel to a tool like greytHR or Zoho Payroll. How would you manage the migration?

What the interviewer wants to hear

  • Document current process, components, formulas and policies
  • Configure salary components, statutory settings and approval workflows
  • Migrate and validate master data and year-to-date figures
  • Run parallel payrolls and reconcile differences
  • Go live with training, access controls and a support plan

Model answer

I would start by documenting the current process: every salary component and formula, LOP and proration rules, reimbursements, statutory settings by state and policies like leave encashment. Then I would configure the new tool: components, structures, PF, ESI and PT settings, TDS rules, payslip format and approval workflows, plus role-based access. Next comes data migration: employee master data, bank details, salary structures and, very important, year-to-date earnings and TDS, so that tax projections and Form 16 are correct when switching mid-year. I would validate the import with record counts and sample checks. Then I would run at least one or two months in parallel, comparing the tool output with Excel employee by employee and explaining every difference. Only after the parallel runs match would we go live, with training for HR and managers, a cut-over checklist and close support for the first live cycles.
