After salaries are credited, you find that 40 employees were overpaid because of a wrong formula. What do you do?
What the interviewer wants to hear
- Stop further impact and inform the manager and stakeholders
- Quantify the error per employee and find the root cause
- Decide recovery approach with HR and finance, respecting law and consent
- Communicate clearly and respectfully to affected employees
- Correct statutory and tax effects and add a control to prevent repeat
Model answer
First I would inform my manager and the HR and finance heads immediately, rather than trying to fix it quietly, and make sure the wrong formula is corrected before any further run. Then I would quantify the overpayment for each employee and confirm the root cause, for example an allowance formula that used gross instead of basic. With HR and finance, I would agree a recovery plan: usually recovery from the next salary, or in instalments for larger amounts, with the employee written agreement where required, and never in a way that leaves the person in hardship. I would write to each employee with a clear explanation, the amount and the recovery plan, and apologise. I would also correct PF, ESI and TDS so that statutory records reflect the right wages. Finally, I would add a control such as a variance threshold check, so the same error would be caught before release.
