A business head asks you to make an urgent off-cycle payment to an employee. How do you handle it?
What the interviewer wants to hear
- Understand the reason and urgency
- Get written approval as per policy
- Process through payroll with correct tax and statutory deductions
- Update YTD and the next regular run
- Track off-cycle volume and fix root causes
Model answer
First I find out what the payment is for and why it cannot wait for the next regular run, for example a missed salary for a new joiner or a final settlement with a legal deadline. If it is genuinely urgent, I get written approval according to policy, usually from HR and finance. I process it through the payroll system, not as an accounts payment, so that TDS, PF where applicable and other deductions are calculated correctly and the amount is in YTD totals and Form 16. The payment still goes through review and a controlled bank file. After that I make sure the next regular run picks up the payment in the tax projection so TDS is not under-deducted later. I also keep a log of off-cycle payments, because frequent ones usually point to a process problem such as late inputs that we should fix.
