mediumPayroll Specialist interview question

The annual increment cycle is approved late, effective three months back. How do you handle it in payroll?

What the interviewer wants to hear

  • Update salary structures with the correct effective date
  • Calculate arrears month by month, including prorated months and LOP
  • Recalculate PF, ESI eligibility and TDS on arrears
  • Validate with sample checks and totals before release
  • Communicate to employees with arrear breakdown on payslip

Model answer

I would load the new salary structures in the system with the correct effective date, not the processing date, so the software can calculate arrears automatically for the back months. For each employee, arrears should follow the actual pay in those months: if someone had LOP or joined mid-month, the arrear must be prorated in the same way. Then I check the statutory effects: PF arrear on the higher basic, whether any employee crosses the ESI wage limit, and TDS, since arrears increase annual taxable income and the monthly TDS must be recalculated for the remaining months. Before release I validate a sample of employees by hand, compare total arrears against the HR increment file, and look for outliers. On the payslip the arrears appear as separate lines, and I would share a short note with employees explaining the arrear and the tax impact.
