mediumPayroll Specialist interview question

How do you manage employee tax declarations and investment proofs during the year?

What the interviewer wants to hear

  • Collect regime choice and declarations at the start of the year
  • Use declarations to project tax and deduct monthly TDS
  • Run a proof submission window near year end with clear guidelines
  • Verify proofs and revise TDS for shortfalls in remaining months
  • Communicate deadlines and keep records for Form 16 and audits

Model answer

At the start of the financial year I ask employees to choose their tax regime and submit declarations for deductions they plan to claim, such as rent for HRA, investments and insurance, through the payroll portal. Payroll uses these to project annual taxable income and spread TDS across the months. Around January I open a proof submission window with a clear checklist of acceptable documents, for example rent receipts and landlord PAN where needed, and investment statements. Then the team verifies proofs and accepts, partly accepts or rejects each claim with a reason. Where proofs are lower than declared, taxable income goes up and the extra tax is recovered in the remaining months, so I warn employees early to avoid a big deduction in March. I send reminders before every deadline, and keep the verified records because they support Form 16 and any tax audit.
