mediumPayroll Specialist interview question

You run payroll for employees in India and the UAE. How would you design the payroll calendar?

What the interviewer wants to hear

  • Separate calendars by country with pay dates and statutory due dates
  • Set input cut-offs, processing, review and approval dates working back from pay day
  • Consider local weekends, public holidays and bank timelines
  • Include WPS file submission timing for the UAE
  • Share calendar with HR, managers and finance and track adherence

Model answer

I would keep a calendar per country, because pay dates, holidays, weekends and statutory deadlines differ. For each, I work backwards from the pay date: bank or WPS submission one or two working days before, approval before that, review and variance checks before approval, processing before review, and the input cut-off at the start. In India I also add due dates for PF, ESI, professional tax and TDS payments and returns. In the UAE I plan the WPS salary file so that salaries reach employees on time, and I watch for public holidays such as Eid, which can move bank working days at short notice. I check that the weekends are right for each country. The calendar is published to HR, managers and finance at the start of the year, and each month I track whether cut-offs were met and follow up on repeated late inputs.
