mediumPayroll Specialist interview question

How do you manage monthly and quarterly statutory payments and returns for payroll in India?

What the interviewer wants to hear

  • Maintain a compliance calendar with due dates and owners
  • Generate challans or ECR from payroll and reconcile with deductions
  • Pay before due dates and file returns such as TDS quarterly returns
  • Keep acknowledgements and reconcile with the GL
  • Track changes in rules and resolve mismatches

Model answer

I keep a compliance calendar listing every statutory payment and return, with due dates, the portal used and an owner. After payroll is approved, I generate the PF ECR and challan, the ESI contribution file, professional tax by state, and the TDS challan from payroll data. Before paying, I reconcile each amount to the payroll register: for example, total PF in the ECR must equal employee plus employer PF in payroll. Payments are made before due dates through the official portals with approval from finance. Every quarter I file the TDS return in Form 24Q using the deposited challan details, so employee tax credits show up correctly and Form 16 can be generated. I save all challans and acknowledgements by month, match them with the GL liability accounts, and follow up quickly on any rejected or mismatched records.
