mediumPayroll Specialist interview question

How do you process a full and final settlement for an employee who has resigned in India?

What the interviewer wants to hear

  • Confirm last working day, notice served and exit approvals
  • Collect clearances from IT, admin, finance and manager
  • Calculate salary to last day, leave encashment, gratuity if eligible, bonus
  • Deduct notice shortfall, advances, asset recoveries and taxes
  • Pay within policy timeline and issue settlement statement and documents

Model answer

First I confirm the exit details from HR: resignation date, last working day, notice period required and served, and any waiver approved by the manager. Then I collect no-dues clearances from IT for laptops, admin for ID cards, finance for advances and expense claims, and the manager for handover. Next I calculate the earnings: salary up to the last working day, leave encashment as per policy, any bonus or incentive due, and gratuity if the employee is eligible. Then deductions: notice shortfall recovery if not waived, outstanding advances or loans, asset recoveries, PF and professional tax on the final salary, and TDS on the total taxable amount. I get the settlement approved by a second person, pay it within the policy timeline, and share a clear settlement statement. Afterwards I make sure Form 16, PF exit dates and relieving documents are handled.
