Model answer
I start two to three weeks before by confirming the attendees, making sure the executive sponsor or a decision maker is there, not only daily users. I share a short agenda and ask what they want to cover. Then I prepare data that ties usage to their business goals from the success plan, such as time saved or revenue influenced, and I am honest about gaps. In the meeting I keep the focus on their business: results achieved, what is blocking them, and their priorities for the next quarter. I share only roadmap items that matter to them. We end by agreeing three or four goals with owners and dates. Afterwards I send a written summary and update the success plan, which also builds the case for renewal.
