easyCustomer Success Manager interview question
A customer is upset and complaining on a call. How do you handle it?
What the interviewer wants to hear
- Listen without interrupting
- Acknowledge feelings and impact
- Ask questions to understand the issue
- Own the next steps with clear timelines
- Follow up as promised
Model answer
First, I would listen fully without interrupting or defending, because the customer needs to feel heard. Then I would acknowledge the impact on them, for example, "I understand this delayed your team's work and that is frustrating." I would ask clear questions to understand the exact problem and how it affects their business. I would not promise things I cannot deliver, but I would own the next steps: who I will involve, what I will do and by when. After the call, I would send a written summary, work with support or product to resolve it, and update the customer even if there is no fix yet. Following up exactly as promised is what rebuilds trust.
