What information and steps do you need to set up a new joiner correctly in payroll?
What the interviewer wants to hear
- Offer details: salary structure, joining date, location, designation
- Personal and statutory details: PAN, UAN or PF details, ESI if applicable
- Verified bank account
- Tax regime choice, declarations and previous employer income
- Prorate the first month and check cut-off
Model answer
I start with the approved offer details from HR: joining date, designation, work location, which drives professional tax, and the salary structure with each component. Then I collect personal and statutory details: PAN for TDS, UAN if they already have PF membership, ESI details if they are covered, and Aadhaar where needed for PF linking. I verify the bank account with a cancelled cheque or bank letter. I ask for their tax regime choice and declarations, and if they joined mid-year, their previous employer salary and TDS so tax is projected on the full year. In the system, I make sure the record is created before the cut-off. If they joined after cut-off, I note that the first month will be paid as an arrear next month. Finally I prorate the first month from the joining date and check the first payslip carefully.
