Payroll has fixed deadlines. How do you stay accurate when there is very little time?
What the interviewer wants to hear
- Plan with a calendar and checklist
- Push for inputs before cut-off and follow up early
- Use system validations and exception reports
- Prioritise high-risk checks rather than skipping review
- Escalate issues early instead of releasing unchecked
Model answer
Most of the accuracy is won before payroll week. I follow a calendar and send reminders to managers before the input cut-off, so I am not chasing data at the last minute. I use a standard checklist every month, so nothing is forgotten under pressure. When I run payroll, I rely on exception reports from the system rather than checking every line by hand: large variances, negative pay, missing bank details, new joiners and leavers. If time is short, I prioritise the high-risk checks, such as headcount, totals and exceptions, but I never skip the review and approval step. If an issue cannot be fixed in time, I escalate early and agree a plan, for example paying everyone on time and correcting one employee in an off-cycle run, rather than releasing something I know may be wrong.
